What is Real-Time Adherence Software?

Last Updated September 22, 2026

Real-time adherence, or RTA, is a workforce management capability that monitors whether agents are following their scheduled activities as the day unfolds. RTA software compares planned states such as handling contacts, breaks, meetings or training with actual states and alerts supervisors when the difference exceeds configured rules.

How real-time adherence works

  1. The WFM system publishes the agent's schedule by interval or activity.
  2. The contact center and workforce systems provide current agent states.
  3. RTA compares scheduled and actual activity.
  4. Configured tolerances determine whether the variance is meaningful.
  5. The system alerts, prioritizes or recommends action for supervisors.

What supervisors use RTA for

  • Find late returns from breaks or meetings.
  • Identify agents who are unexpectedly offline.
  • See when calls or after-call work run through a scheduled transition.
  • Understand whether a queue is losing planned capacity.
  • Prioritize which adherence exceptions need immediate action.
  • Communicate schedule changes when demand shifts.

RTA vs. intraday management

Set useful adherence rules

If tolerances are too strict, supervisors are flooded with noise and agents may feel micromanaged. If tolerances are too loose, the system may not identify material staffing loss. Configure rules by activity type and operational impact rather than using one threshold for every situation.

A call that runs three minutes beyond a break boundary is different from an unexplained unavailable state lasting twenty minutes.

Use RTA as an operational tool, not just a score

The best use of real-time adherence is corrective and supportive: identify a problem, understand the cause and restore the plan or adjust the plan. Persistent exceptions can inform coaching, but one-off deviations may be caused by customer complexity or systems.

RTA data is more meaningful when combined with intraday demand, schedule quality and agent context.

AI in real-time adherence

AI can help prioritize exceptions by customer impact, recognize patterns and recommend schedule actions. For example, it can distinguish a small variance in an overstaffed interval from a significant gap during a demand spike. Human supervisors should retain oversight of employee-related decisions.
